Board Meeting Minutes: 
  Beckett Ridge HOA Board Meeting               January 19, 2010, 6:30 p.m. at Tri County Baptist Church Meeting Minutes Call to Order Dennis Bender called the meeting to order at 6:30 p.m. Board Members present were Dennis Bender, Dave Burling, George Hulsizer, Debbie Olszowka, Sharon Palm, Terri Wong and Burt Young.  Debi Perkins represented Towne Properties. Tony Wilson and Bob Wilson represented Brickman. Jim Matre the Association's attorney was also present. Homeowner Requests/Concerns Carol Muller addressed the Board about the outstanding delinquencies for Beckett Ridge. The Board responded to her questions. Towne presented a letter from a Beckett Ridge owner who was upset about the fee increase. The Board responded that the cover letter accompanying the 2010 invoices and budget answered the owner's questions. Minutes Approved The Minutes of the previous Board of Trustees meeting held November 17, 2009 were approved with no changes. Landscape Committee Report - Dave Burling gave the report. The committee will have their first meeting in February and make their plans for the upcoming year. Brickman -Tony Wilson gave the report. He reviewed with the Board several proposals for drainage work, a tree removal and a sinkhole repair. The Board approved the proposals. The work will be scheduled as soon as possible, weather permitting. Architectural Review No applications were submitted. Managers Report The Board reviewed the current Management Report and Debi responded to questions. Financial The Board reviewed and approved the current cash statement and delinquent status report. As of December 31 2009 the delinquency amount was $44,130.08. Phone Log The Board reviewed the phone log from Towne Properties. Old Business A. Revised HOA - Rules and Regulations/Covenants - The Board reviewed the proposed timeline and actions needed to get the revisions to the Beckett Ridge owners. It was decided to use a mailing to all owners, information on the website and a series of informational meetings to get the revisions out to everyone and to explain the need for passage of the revisions. Every Beckett Ridge owner, who is in good standing, will be allowed to vote on the revisions, subject to one vote per Lot. A committee will be formed made up of interested Beckett Ridge owners and Board members to oversee the communication and voting phase of the project. B.  Windbrook Street Maintenance - The Board reviewed the latest correspondence from the attorney representing the Shepherd's Farm I condominiums regarding Windbrook Trail. The Board directed their attorney to reply back indicating the Board's position. C. Meeting with Millcreek Board - The Board reviewed the pre-submitted questions/concerns from the Millcreek Board. They will discuss their answers at the February meeting which will be attended by members of the Millcreek HOA Board. New Business A. Association Receivables - The Board discussed how Beckett Ridge assessments are applied to each owner's account. In the past the monies received were applied to the HOA assessment, then late fees and then legal fees (if any). Some delinquent Beckett Ridge owners pay only their assessment and the late fees stay on the account, sometimes for several years. The Board voted to change how monies are applied. Effective immediately, monies received will be applied first to late fees, then legal fees and then HOA assessments. The Association can file a lien on any property that is delinquent their HOA assessment.      Adjournment There being no further business to come before the Board, the general meeting was adjourned at 8:25 p.m. Next Meeting The next Board of Trustees Meeting will be held on Tuesday, February 16, 2010 at 6:30 p.m. at Tri-County Baptist Church.
