Beckett Ridge HOA Board Meeting May 17, 2011 at Tri-County Baptist Church Meeting Minutes

Call to Order

Dennis Bender called the meeting to order at 6:30 p.m.

Board Members present were Dennis Bender, George Hulsizer, Terri McGill-Wong, Debbie Olszowka, and Burt Young. Dave Burling and Sharon Palm were absent with notice. Representatives from Towne Properties and Brickman were also in attendance. Several homeowners were also in attendance.

Homeowner Requests/Concerns

Lori Murphy from Stirrup Court addressed the Board with her concerns about the amount of trash in the creek that runs behind her home. She suggested a community-wide cleanup committee. The Board agreed that would be a good idea.

Minutes

The Minutes of the Board of Trustees April meeting were approved with no changes.

Brickman

Tony Wilson gave the report. He reviewed the maintenance schedule. He presented the Board with two proposals for tree removals in several areas of the community. The Board reviewed them and agreed to both. Brickman will remove the trees as soon as possible, weather permitting.

Landscape Committee Report

Bruce Rankin gave the report. He updated the Board on the progress of the landscape projects which are just about complete at the end of Eagle Ridge and at Four Corners.

Architectural Review

Five applications were submitted. The Board approved one for a deck replacement and denied three others including one from an owner who wanted to install a net across his golf-course adjacent lot. One application for a shed was tabled for further review by the Board and feedback from the neighbors.

Managers Report

Debi Perkins gave the report. The Board reviewed the current Management Report.

Financial

The Board reviewed and approved the current cash statement and delinquent status report. As of May 10, 2011, the delinquency amount was $75,853.

Phone Log

The Board reviewed the phone and email log from Towne Properties.

Old Business

  1. Rollingwood Entrance Improvements Tabled until the June meeting. 
  2. Rupp Farm Drainage - update Dennis Bender has met with Kleingers & Associates to provide a quote for doing an engineering study on the run-off from Indian Ridge to Rupp Farm.

New Business

  1. Request to Speak at Meeting Sue Mahlock with the Community Foundation of West Chester/Liberty sent a request to speak at a meeting. The Board felt her information would be of interest to the general Beckett Ridge community and extended an invitation to speak at the 2012 annual meeting. In the interim, she was invited to write an article for the next community newsletter. 
  2. 2011 Delinquencies - Next Step Per the Association's collection policy, the Board reviewed the list of owners who remain delinquent and discussed the next step in trying to collect the $75,800 owed t the Beckett Ridge HOA. Towne Properties and Dennis Bender met with a collection agency representative who outlined the cost and what actions are available to the Association if they choose to utilize this service. It was agreed by the Board that those owners who have Small Claims judgments will be immediately turned over to this collection agency. The Board also voted to turn over the current Beckett Ridge delinquency list, minus anyone who has an approved payment plan, to the collection agency who will actively try to collect the debt. If the collection agency is unsuccessful, anyone remaining on the list will be taken to Small Claims Court. 
  3. Fee Requests A resident who lives in VBR requested the Board waive their late fees as they did not know they were responsible for paying the Master Association fee and they never received any bill or late notices. The Board denied their request. A resident from Shepherd's Farm made a request for a payment plan due to health issues. The Board agreed to the request.

Adjournment

There being no further business to come before the Board, the general meeting was adjourned at 8:21 p.m.

Next Meeting

The next Board of Trustees Meeting will be held on Tuesday, June 21, 2011 at 6:30 p.m. at Tri-County Baptist Church.
