June 21, 2011 at Tri-County Baptist Church

Meeting Minutes

 

 


Call to Order

Dennis Bender called the meeting to order at 6:30 p.m.


 


Board Members present were Dennis Bender, Dave Burling, George Hulsizer, Terri McGill-Wong, Debbie Olszowka, Sharon Palm, and Burt Young. Representatives from Towne Properties and Brickman were also in attendance. Several homeowners were also in attendance.


Homeowner Requests/Concerns

Mr. Kennedy from Crossbridge addressed the Board about the decision regarding his application for a fountain.  Mr. Hunter from Leaf Back addressed the Board about the decision regarding his application for a deck cover.  Mr. Stump from Leatherwood addressed the Board about the decision regarding his yard net. The Board told each owner they would discuss their appeals and would get back to them with the Board’s decision.

 


Minutes


The Minutes of the Board of Trustees May meeting were approved with no changes.


 


Brickman


Tony Wilson gave the report.  He reviewed the maintenance schedule.  He presented the Board with three proposals for tree removal and drainage problems.  The Board reviewed them and agreed to all.  A fourth proposal for several tree removals was tabled until September.  Tony updated the Board on the status of the irrigation system at the end of Eagle Ridge – the meter has been installed and the system is now operational. Tony requested the Board consider installing signs along the green belt by the split rail fences on Eagle Ridge.  His mowing crews are complaining about the excessive amount of dog feces in the area from owners walking their pet and not cleaning up.  The Board agreed to investigate a solution to the problem.


 


Landscape Committee Report


Bruce Rankin gave the report.  He submitted a proposal from Hilltop Electric for upgraded lighting at Four Corners. After reviewing the proposal, the Board agreed to hold off any action until later in the year. If the money is available, the Board may agree to have the work done this year; if not, it will be considered next year.


 


Architectural Review


One application was submitted which was approved.


Managers Report

Debi Perkins gave the report.  The Board reviewed the current Management Report.

 

 

Financial

The Board reviewed and approved the current cash statement and delinquent status report.  As of June 14, 2011, the delinquency amount was $70,719.


 


Phone Log


The Board reviewed the phone and email log from Towne Properties.


Old Business

A.     Rollingwood Entrance Improvements - Update


Tabled until later in the year.


 


B.     Rupp Farm Drainage - Update


The Board reviewed the bid proposal from Kleingers & Associates to do an engineering study on the run-off from Indian Ridge to Rupp Farm. The Board agreed to the $2,900 cost and Dennis executed the contract.


           


C.     Collection of 2011 Delinquencies


Towne is in the process of turning over to the collection agency the names of 100 delinquent Beckett Ridge owners. The agency will begin their collection efforts by the end of June. The agency will notify the credit bureau(s) of the delinquency and that the debt is now in collection.


New Business

A.     Asphalt Bids


Towne received three (3) bids for the asphalt work on the walking path from Eagle Ridge to Sawgrass.  After reviewing the bids, the Board requested clarification on some of the information. Towne will contact the bidders.


 


B.     Lighting Repair Proposal


Hilltop Electric submitted a proposal for repairs at Retreat and at Saratoga Farms. The Board approved the repairs and Dennis executed the contract.  The quote for replacement lanterns at Saratoga Farms was tabled until a later date.


 


Adjournment


There being no further business to come before the Board, the general meeting was adjourned at 8:25 p.m. 


Next Meeting

The next Board of Trustees Meeting will be held on Tuesday, July 19, 2011 at 6:30 p.m. at Tri-County Baptist Church.
